Motivation Letter

The AI-Powered Motivation Letter generates comprehensive and persuasive letters by gathering relevant clinical evidence from the patient's record to justify care, secure approvals, or support applications. It saves hours of administrative work and maximises approval chances.

There are two primary ways to generate a Motivation Letter: from the main Patient Overview screen or directly within a consultation.

Method 1: From the Patient Overview

This method is ideal for creating a motivation letter outside of an active consultation.

Step 1: Open the Patient Overview

Access the patient's file from the Calendar, Waiting Room, or by using the Search Bar.

Step 2: Launch the Clinical Assistant

On the right-hand side of the Patient Overview screen, click on the Lightbulb icon (💡) to open the Clinical Assistant, then click on "Motivation Letter".

Method 2: During a Consultation (In-Consult)

This method allows you to create the letter as part of your standard consultation workflow.

Step 1: Start or Continue a Consultation

Begin a new consultation or open a saved one for the patient.

Step 2: Navigate to the Plan Tab

Proceed through the consultation steps until you reach the "Plan" tab. Under the "Letters" section, click on "Generate Motivation Letter".

Step 3: Provide Instructions and Generate the Letter

After launching the letter generator from either method, a pop-up window will appear. Before clicking "Generate," you must provide a clear and specific instruction explaining what you are motivating for. This tells the AI what clinical evidence to find and include.

In the text box labeled "Enter your instructions...", describe the purpose of the motivation. For example:

  • "Motivation for chronic medication benefits for the patient's diagnosed asthma."
  • "A motivation letter to the medical aid to approve funding for a continuous glucose monitoring device."
  • "Justify the need for an urgent MRI scan for suspected nerve compression based on recent symptoms."

Once you have entered your instructions, click "Generate".

Step 4: Review and Refine the Letter

The AI will now generate a draft of the motivation letter, building a strong case by pulling relevant diagnoses, treatment history, and clinical notes from the patient's timeline.

Review the letter to ensure it is persuasive and contains all the necessary evidence.

Refine (Optional): If the letter needs changes, you can add further instructions in the text box at the bottom (e.g., "Include the results from the lab test on June 5th") and click "Regenerate".

Step 5: Finalize and Share

Once you are satisfied with the motivation letter, you have several options:

  • Copy to Letterhead: Instantly transfers the text onto your practice's professional letterhead.
  • Download: Saves the letter as a document to your computer.

Q: Can I use this for things other than medical aid approvals? A: Yes. While it's perfect for motivating for chronic benefits or treatments from medical aids, you can also use it for a wide range of other purposes, such as writing letters to a school to justify accommodations for a patient (e.g., for ADHD) or for any other institution that requires a formal medical justification.

Q: How does the AI know what clinical evidence to include? A: The AI's effectiveness depends on your instruction. When you provide a clear reason for the motivation (e.g., "Motivation for chronic medication for asthma"), the AI searches the entire patient timeline for relevant supporting evidence, such as related diagnoses, past treatment responses, and relevant clinical notes to build the strongest possible case.

Q: What if I need to add specific details that aren't in the timeline? A: The AI generates a comprehensive first draft, but you always have the final say. You can easily edit the text manually to add specific context or details, or you can use the instruction box to ask the AI to refine the letter with additional information before finalizing it.
